This was a
phone-in combined meeting with HISA and HIMSS.

Introductions were made as we began and people joined the call.

The focus of this call is for detail planning for our December 4 conference, being held this Thursday.
Committee Chair/Regional Advisory Council Reports:
ACTION ITEM: Alicia will follow up with Sharon Massey regarding the raffle gifts from Microsoft.
Ken gave us totals on registration, we had three additional registrations today. Helen is aware of several people that haven’t registered yet. Ken has not seen registration from Richard Burns of FCG or Sharon Massey of Microsoft. We are showing 11 vendors and 31 registrants. Sharon Massey will also be listed as a vendor.
Someone from QuadraMed signed up as a vendor today. We need their logo and write-up for them.

ACTION ITEM: Ken will send the final list of participants and sponsors to Alicia tomorrow.
ACTION ITEM: We should also work to drum up any additional people to build up the turn-out!!
Ron reduced the count to 60 at St. John. They waived the cost of reducing this by 40%, the typical reduction is expected to be 20%. We believe we will get at least 60 people. The overage on food takes us to 75 people if needed.
Tickets from Covansys (2 sets of two with executive parking) and Superior’s contribution of tickets give us at least 6 sets of tickets to raffle off.
Two sets of raffle tickets to everyone. The game tickets will be raffled separately so everyone has an opportunity to win.
Helen picked up a nice Waterman pen with a leather case instead of a clock for the speaker gift. We all agreed that this would be a nice gift. Ron suggested also giving her a current popular business best seller.
ACTION ITEM: Ron will look to pick up a book for Marion as well.
Microsoft will have software, Healthlink is providing a pen drive, Oracle has also provided give-aways.
ACTION ITEM: Jeff Pfund is making CDs of Marion’s presentation.
ACTION ITEM: Alicia will send the release form to Helen and Nancy. (DONE)
The revolving power point will be displaying with thanks to all the vendors. This information will also be added to the packets.

Carla Smith from HIMSS will introduce Marion Ball and talk about current HIMSS clinical initiatives that are relevant to our meeting.
Marion and Carla will both provide updated biographies.
Helen will put together a brief agenda tomorrow.
How should we open the meeting? HISA should open the meeting, since Carla is introducing Marion. We should introduce the location, generally thank people and the sponsors. We will split the introductions between HIMSS and HISA.
We will need to collect evaluations early at the registration desk, and remind people periodically that they should be turned in at the desk.
We will do the majority of the raffle after Marion speaks. We can list what is going to be raffled, raffle a couple of items, also raffle some during the Q&A (if possible) then keep the majority for the end. The group agreed that this was a good way.
ACTION ITEM: Alicia will bring the digital camera.
ACTION ITEM: We should derive questions in anticipation of Q&A for Marion.
We will also provide index cards in the folders for everyone for their Q&A questions. Brian likes the idea of including the cards as well. We will read and repeat questions so it is clear to the audience.
Ron and Pam will help with the questions during the Q&A session.
For the raffle, we can have Marion draw tickets or have someone in the audience draw tickets.
ACTION ITEM: Alicia will get index cards for packing in the folders.
The group will convene at St. John to pack folders around 4 – 4:30 on Thursday.
It is an open bar, we are anticipating 2 drinks per person, so will have enough. We will have beer, wine, pop and coffee. We won’t use drink tickets, but figure that those not drinking will offset those drinking.
We will use one screen for the presentations and show the revolving power point when Marion is not speaking.
The conference center will have Internet connectivity at the registration table.
Helen will continue her quest for rumballs!
ACTION ITEM: Ken will contact Telusys and have them check their records for improperly processed registrations.
ACTION ITEM: Craig and Ken will get together and determine how to generate these invoices.
ACTION ITEM: Dave
will follow up with Nancy Kashani to find these write-ups from our previous
meetings if needed.

will follow up with ServNet regarding their 100 word write-up.
ACTION ITEM: Dave will follow up regarding Oracle contacts.

ACTION ITEM: Jo will send the information regarding CEU credits to various people at U of M as well as others.
ACTION ITEM: If Rick W. still has contacts at Schoolcraft, this would be another good venue for advertising the event.
ACTION ITEM: Everyone will work to contact individuals (“our rolodexes”) and get them in attendance at this conference. Specifically try to target organizations that we haven’t contacted yet.
ACTION ITEM: Dave will post a flyer at Trinity and confirm it is posted at other Trinity locations as well.
ACTION ITEM: Updates should be made on all flyers for student rate (now $35), CEU credits available through HIMSS.
ACTION ITEM: Alicia will bring her digital camera so someone (Jan) can take pictures.
ACTION ITEM: Alicia will send Helen a copy of the release form for publishing slides.
ACTION ITEM: Alicia will send the HIMSS evaluation over to the HISA people for their evaluation. She will forward it to Nancy Kashani at the latest by Monday.

ACTION ITEM: Jo will make additional purchases of champagne and holiday baskets for door prizes.

MI-HIMSS Supermarket. This would be a mini-exposition of Michigan vendors. We would group by technology, which is where the Supermarket concept comes from—for example, CPOE vendors are in one area, EMR vendors in another, Security is in another, etc. We would bring in vendors and allow them to present separately, perhaps even a technology face-off, as well as provide the expo. We expressed some concern regarding HIMSS National feelings about this type of event.
HIMSS Speaker Assistance Program
Working with Ann Arbor office to publicize programs and get their assistance.
