Minutes from Meeting Tuesday, November 25, 2003

This was a phone-in combined meeting with HISA and HIMSS.

Introductions were made as we began and people joined the call.

The focus of this call is for detail planning for our December 4 conference, next Thursday.

Programs

We show 16 Registrants and 6 vendors signed up for our December 4 conference.  Elaine has registered, but her name is not on the list.  Several people who say they have registered are not appearing on the list yet.    The CEO at Henry Ford sent out our flyer and has been supporting our program.  Jennifer told us that 6 people from their HIMSS office will be attending also.  Some of the HISA people have not yet registered, but are planning on attending.

 

ACTION ITEM:  Ken will contact Telusys and have them check their records for improperly processed registrations.

 

Question on registration:  if a hospital has a purchase order, at the web site, you note that you are registering by check.  The goal is to be able to invoice an organization.  HIMSS doesn’t currently have a process in place for this, but HISA has done this in the past.  Craig uses Quickbooks to generate invoices for their programs.  Ken is using Quicken. 

 

ACTION ITEM:  Craig and Ken will get together and determine how to generate these invoices.

 

There are 6 sponsors signed up so far and Covansys is also going to sponsor.  Superior and First Consulting Group will both be signing up as vendor sponsors.  They can register at the web site.  Craig will follow up with Gary at Superior.  Brian indicated that Keane may also be sponsoring.  Nortel may also register as a sponsor.  IBEX is also planning to provide materials for door prizes.  Microsoft is also.  HealthLink is providing a thumb drive for raffle.

 

Dave needs write-ups from each company in 100 words.  Needs this from Nortel, Oracle, and ServNet. We also need the same information from Keane.

 

ACTION ITEM:  Dave will follow up with Nancy Kashani to find these write-ups from our previous meetings if needed.

ACTION ITEM:  Dave will follow up with ServNet regarding their 100 word write-up.

 

ACTION ITEM:  Dave will follow up regarding Oracle contacts.

 

ACTION ITEM:  Brian McPherson will follow up with Keane and contact Dave regarding.

 

Phil Kleba registered Oracle at the web site.

 

Do we need additional sponsors?  Ken didn’t have FCG or Reliance on the list.  With the sponsors mentioned today, we have 12 sponsors plus Microsoft and IBEX.

 

We are still waiting to hear back from Siemens for sponsorship.

 

ACTION ITEM:  Jo will follow up with Siemens. 

 

ACTION ITEM:  Ron will follow up with IBEX and Cerner.

 

Dave also needs a logo from HISA.  The best way will be for him to go to their web site and grab one of the logos from there.

 

For our revolving Powerpoint, Helen will need a list of HISA officers from their web site.  Craig confirmed that the information is up to date, even if it is 3 years old!  Pam checked while we were meeting and confirmed that the information is up to date as well.

 

Jennifer has arranged for CEU credits at HIMSS for us.  Helen has Marion Ball’s presentation if we are planning to investigate other accreditations.  Pam indicated that nursing CEUs take typically 8 weeks to set up, but she will investigate.

 

ACTION ITEM:  Jo will send the information regarding CEU credits to various people at U of M as well as others.

 

Contacts – Ron is trying to get an announcement into the Great Lakes Report.  Jennifer is looking into WWJ Technology updates as well.  She will also contact the SIG Group chairs to see if we can generate interest there as well.

 

Helen contacted Mike McGill at Walsh College and he posted the notice.  Helen made a command decision that we would charge $35. for students.

 

The flyers have been distributed to other groups as well, such as HICCUM.  Dennis McCafferty posted it on their web site.

 

If anyone has a contact at ACHE, we could send it to that group also.  Botsford’s former medical director is sending out to their organization as well.

 

Phone calls work better than emails at this point.  We are all encouraged to make contacts and try to get involvement for this conference.

 

If anyone has contacts at other local schools, it would be good to get the flyers to them.  Helen wondered if Elaine had additional contacts in Grand Rapids, etc. that she could “spam.”  Elaine agreed that she could do this.

 

ACTION ITEM:  If Rick W.  still has contacts at Schoolcraft, this would be another good venue for advertising the event.

 

Josh also has a copy of the MHA Directory and HISA will send a notice out to that whole group.

 

ACTION ITEM:  Everyone will work to contact individuals (“our rolodexes”) and get them in attendance at this conference.  Specifically try to target organizations that we haven’t contacted yet.

 

ACTION ITEM:  Dave will post a flyer at Trinity and confirm it is posted at other Trinity locations as well.

 

Elaine is sending out her emails now.  Pam has reminded Josh to send out additional notices as well. 

 

ACTION ITEM:  Updates should be made on all flyers for student rate (now $35), CEU credits available through HIMSS.

 

ACTION ITEM:  Alicia will bring her digital camera so someone (Jan) can take pictures.

 

We have slides from the speaker.  Helen will have Nancy handle the slides and the list of sponsors with the revolving Powerpoint.

 

Josh needs the sponsor list, logos and write-ups to post at the web site for HISA.  Jan will need the sponsor list to post at the web site for HIMSS.

 

ACTION ITEM:  Alicia will send Helen a copy of the release form for publishing slides.

 

ACTION ITEM:  Alicia will send the HIMSS evaluation over to the HISA people for their evaluation.  She will forward it to Nancy Kashani at the latest by Monday.

 

Their concerns are collecting information regarding:  content, speaker, other topics for future.

 

Helen suggested we put Ken’s name on the web site as a contact in case there are problems.  That way we can track any difficulties with a single point person. Ken agreed.  Ken’s email is krisko@cerner.com. 

 

We are looking for additional door prizes.  Elaine suggested American Express cash cards.  Craig suggested that Superior could contribute some tickets to the Palace possibly.  Jo will look at getting Red Wing tickets from Covansys.  Jo suggested a holiday gift basket (not fruitcake!), but perhaps champagne and rum balls.  A turkey was also suggested.

 

ACTION ITEM:  Craig will investigate tickets through Superior.

Elaine spent roughly $10 per door prize.  We should plan on having around 12 different raffle prizes.

 

ACTION ITEM:  Jo will make additional purchases of champagne and holiday baskets for door prizes.


The raffle will currently have:

            Pen drive from HealthLink

 

There are no speaker fees.  Judy at HealthLink knows that we are paying expenses.

 

If people can be there by 4:30 we can stuff packets and get prepared for registration.

 

ACTION ITEM:  Alicia will check on folders and purchase 100 for the meeting and do inserts.

 

HISA has trinkets for give-aways and will bring them. 

 

ACTION ITEM:  Alicia will give Nancy Widell a call and will contact Jennifer to see if she has any HIMSS give-aways.  Nancy is available at 312-915-9266.  nwidell@himss.org.

ACTION ITEM:  Jo will check with Nancy to get a projector from Covansys.  Alicia will bring an LCD Projector from Reliance.

 

ACTION ITEM:  Helen will bring her laptop for presentations.

 

Jeff Pfund will burn a copy of the presentation on CD and will have an extra laptop and projector if we need it.

 

The gift for the speaker will be a clock.

 

Ron needs a count on Tuesday of next week to know what the food count should be.

 

Future Agenda Items

 

MI-HIMSS Supermarket.  This would be a mini-exposition of Michigan vendors.  We would group by technology, which is where the Supermarket concept comes from—for example, CPOE vendors are in one area, EMR vendors in another, Security is in another, etc.  We would bring in vendors and allow them to present separately, perhaps even a technology face-off, as well as provide the expo.  We expressed some concern regarding HIMSS National feelings about this type of event.

Working with Ann Arbor office to publicize programs and get their assistance.

Reliance is on the north side of Northwestern between Inkster and 13 Mile Road in the North Valley Office Building. 

 

From the North: Take Telegraph (US24) South to 13 Mile Road. Turn right (West) on 13 mile to Northwestern (M10). Make a "Michigan Left" onto Northwestern, heading South-East. You will see our building on the left (East).


From the West: Take I-696 East to Orchard Lake Road. Turn left (North) onto Orchard Lake. Turn right (East) onto the next road, which is 12 mile. Take this to Inkster, then turn left (North). Make a "Michigan Left" onto Northwestern, heading North-West. Our building will be on the right (East).
