Minutes from Meeting Tuesday, July 8, 2003

Introductions were made as we began and people joined the call. 

 

The focus of today’s call was finalizing plans for our upcoming conference at Shanty Creek on July 31.

Programs & Membership - July Conference

 

Elaine wondered how we were doing registrations and how we handle phone registrations?  Dave doesn’t know yet who has registered or who has signed up for sponsorship.  He will be finding that out from Jim.

 

The agenda does not have information on how to register alternatively.  The web site does give Ken’s address as a method for sending a check.

 

Elaine found difficulty dealing with Shanty Creek.  Participants have to fax the form to Shanty Creek.  They cannot call Shanty Creek with orders.  Participants contact Shanty Creek for lodging.  We are collecting money and numbers for golf. 

 

Helen wondered if Superior is sponsoring golf.  Dave will check with them. 

 

As far as golf, Dave spoke with a woman at Shanty Creek that said they would help.  We can place signs at the holes for various sponsoring components. 

 

Elaine is sending Chris an email to confirm that he is coordinating the golf event.  Elaine has contributed Matt to help coordinate this.  Helen offered that we cover Matt’s golf or something because he is helping us.  Elaine is asking Chris to contact Dave.  Dave identified two sets of groups that need to interface with Chris:  1)  sponsors in coordinating the hole and other sponsorship opportunities and 2) golfers who may have special needs regarding foursomes, etc.  Dave can help Chris coordinate.

 

Helen confirmed that we are coordinating a scramble.  She suggested that we coordinate special events like for “mulligans” etc.

 

Dave Davis needs to know both who is registering and who is planning to sponsor.  We also need to know who will be sponsoring golf.

 

Non-vendor participants are free for the program conference and room.  They will be responsible for their evening meal and golf.

 

Member numbers can be gotten through national HIMSS, either Susan Delhey or Betty Sanders (bsanders@himss.org).  Also through Jennifer Horowitz in Ann Arbor or through ftp at the national web site. 

 

Member numbers are not required in the registration.  We were tracking members vs. non-members and confirming their rates.

 

Covansys has been trying to sponsor.  The form does not mention the sponsorship for golf, the extra $150 for golf.

 

ACTION ITEM:  Everyone needs to send their sponsor contacts to Dave Davis.

 

Microsoft will not be sponsoring.  Helen is still checking with Eclipsys regarding sponsorship.  DCG is interested in sponsoring, Rick will continue to follow up.


Rick is sending out an update of information in another mailing.  He is wondering what else to send out as reminders in the email.  1)  To register for lodging at Shanty Creek, don’t call them, but fax the form that is available at the web site (and in Rick’s email);  2) To register other than at the web site, contact Ken Risko at krisko@cerner.com or by phone. 

 

If they phone in, they should also fax their registration form to Ken.

ACTION ITEM:  Jim will check on pricing on sponsor page to make sure it delineates $350 and $500 as options (with the extra $150 for the golf outing sponsorship).

 

ACTION ITEM:  Rick will be sending out an update of the conference information to our membership.

ACTION ITEM:  Jim will work to get the Shanty Creek document on the web site.

 

Elaine is contacting her speakers for biographies, etc.

 

ACTION ITEM:  We should all begin to contact our presenters to get their biographies and slides. 

 

Dave agreed to create a document about the sponsors in 100 words or less with a deadline of 1 week prior to the event.  He sent this information to the vendors as part of his contact.  This will be printed with the sponsor logos.

 

Ken is contacting Cerner to see if they are willing to sponsor.  If he is unable to contact them regarding sponsorship, Helen can contact them.

 

Helen wondered if Jennifer had other ideas of where we can advertise our event.

 

Jennifer has already contacted MONE, HSNA, and the Midwest Alliance of Nursing Informatics forwarded our agenda to them asking if they would distribute it out.  Helen asked if Jennifer would also send it to the SIG chairs.  Also ACHE is a good place to distribute our flyers and Dave will be following up with his boss regarding this.

 

ACTION ITEM:  Jennifer will contact the SIG chairs with the information.

 

ACTION ITEM:  Dave will contact his boss regarding sending the announcement to the ACHE membership.

 

Helen also wondered if anyone had advertised in the Great Lakes IT or Ann Arbor IT Zone.  Jim offered to look into this.  Also, Crain’s may or may not be able to do anything for us.  Jim will contact Crain’s and the Detroit News as well.  Helen wondered if there was any advantage in publishing in a northern Michigan paper.  Elaine thought it would be difficult for little return.

 

ACTION ITEM:  Jim will contact Great Lakes IT Report, Ann Arbor IT Zone, Crain’s and the Detroit News regarding publishing the upcoming event.

 

Helen asked Elaine if she would like to introduce her northern Michigan speaker.  Helen will introduce the keynote speaker.  Perhaps Chris H. would want to introduce the U of M presentation.  Chris Podges can talk about the golf outing.  Chris will also play golf for free.  If he has people that can help with golf, they can play free also.

We will also need an evaluation form for our packets.  Helen wondered if Leon’s group would be willing to do our survey for us again.  Rick offered to put a form together again.  We need to point out the evaluation form and make sure people fill it out.

 

ACTION ITEM:  Rick will put together evaluations for this event as he has done in the past.

 

Anyone who can, should plan to be up north the night of July 30th so we can stuff packets, etc.  HIMSS should be able to pay for our dinner that evening while we work at stuffing packets, and preparing for the next day’s event.

 

Dave has checked out tables, etc. for the vendor displays.  Tables hold 15 – 8 foot tables.  Standard power is available at all tables.  Dial-up is also available, even high speed is available if it is needed.  Dave is fielding many vendor questions effectively.

Future Agenda Items

 

Determine methods to archive all HIMSS data permanently in anticipation of handing off to future HIMSS officers.

 

MI-HIMSS Supermarket.  This would be a mini-exposition of Michigan vendors.  We would group by technology, which is where the Supermarket concept comes from—for example, CPOE vendors are in one area, EMR vendors in another, Security is in another, etc.  We would bring in vendors and allow them to present separately, perhaps even a technology face-off, as well as provide the expo.  We expressed some concern regarding HIMSS National feelings about this type of event.

Working with Ann Arbor office to publicize programs and get their assistance.

 

Meetings

Meetings are held the second and fourth Tuesday of each month.

 

We are meeting weekly as we plan for our upcoming July conference.  Meetings are scheduled for the following Tuesdays at 5:00 pm:

 

            July 15

            July 22

            July 29

 

We will resume our meetings on the second and fourth Tuesdays of the month in August.

Reliance is on the north side of Northwestern between Inkster and 13 Mile Road in the North Valley Office Building. 

 

From the North: Take Telegraph (US24) South to 13 Mile Road. Turn right (West) on 13 mile to Northwestern (M10). Make a "Michigan Left" onto Northwestern, heading South-East. You will see our building on the left (East).


From the West: Take I-696 East to Orchard Lake Road. Turn left (North) onto Orchard Lake. Turn right (East) onto the next road, which is 12 mile. Take this to Inkster, then turn left (North). Make a "Michigan Left" onto Northwestern, heading North-West. Our building will be on the right (East).
