Introductions were made as we began and people joined the call.
PLEASE NOTE: Our meeting location continues to be changed to Reliance Software Systems in Farmington Hills. Directions are at the end of these minutes.

Programs
Our program from last week was very well received, everyone heard good
feedback. Both the panel members and
participants were impressed.
Ron mentioned that someone who attended our first conference did not get an email regarding the second conference. We need to make sure that all the information is shared among the group before and after events so we can update email lists, etc.
Suggestions for next time include:
If we are stuffing folders then, begin this earlier or do prior to the day
Put the evaluation forms in the front of the folders, stress forms at conference
Get a label machine to print names at registration
Get business cards for board members
ACTION ITEM: Alicia will investigate the cost of business cards – with a minimum of either 100 or 250.
Several conference attendees were not on the Telusys list, but registered at the web site. Chris is calling Telusys to investigate why.
Several people have mentioned they will not be able to make the planning meeting. Helen suggested we reschedule the meeting and consider a Friday afternoon. People began reviewing their calendars. Noting that the RAC leaders are key to this event, Helen will call Elaine to check her schedule and Alicia will call Karen.
ACTION ITEMS: Helen will check with Elaine regarding her schedule for the strategic planning meeting. Alicia will check with Karen.
We all agreed that the timeframe in May is best for the strategic meeting.
Helen mentioned that the national meeting is the first week in June.
Regarding interest in our upcoming planning meeting, Ron said that Ned is interested, Helen mentioned Larry Schoff and Lucy Mancini-Newell, head of healthcare informatics at Perot is interested, she’s already served on a number of HIMSS committees. Ron also mentioned that Jean Ann Larson from Beaumont was interested in participating. Sharon Massey offered people from Microsoft’s healthcare vertical to help us as well. Carla and Jennifer from HIMSS are both interested in attending as well. Helen has been in the process of drafting an agenda.
ACTION ITEM: Helen will share a tentative agenda with the group once she has finished drafting it. Everyone is invited to contribute.
ACTION ITEM: Helen will call Carla to check her availability for the strategic planning meeting as well.
Helen and Alicia will speak regarding Elaine and Karen’s availability.
We also need to look to include people on the west side of the state that would like to represent the RAC in that area. We want to include key interested parties to get representation and involvement from that side of the state.
ACTION ITEM: Alicia will call Jim Martin regarding his involvement in the strategic planning meeting.
Helen suggested that Jim Martin would also be a good contact to get students.
Ron asked Helen to provide Ken some insight regarding the upcoming planning meeting and our chapter in general. She mentioned that, like the chapter, the strategic planning meeting is geared to serve the needs of our membership. She gave Ken a history of our forming of the chapter and what we have been doing since inception. We’ve been focused on events, but really want and have to investigate where we want to go. We have an obligation to continue events, but don’t want to be focused only on programs. This brought us up to date with where we are and where we hope to go. The planning meeting is geared to finding that out.
Helen also mentioned how we have formed a regional advisory council and are working to address state-wide needs in healthcare. We are looking again for someone to represent the west side of the state. She mentioned our investigation into delivery mechanisms such as video conferencing, etc. for reaching out to everyone in the state.
Ron continued to lay out the chapter structure, committees and roles that we play. Helen suggested in the future we could publicize some of our activities through the Ann Arbor office. We have a great advantage of having a national chapter office in Ann Arbor. We also have current and past national board members and SIG chairs, including bar coding and the outreach group. Ken was happy with the update and expressed interest in working to further the group. Helen mentioned that we are planning to have a volunteer meeting as well as a new member event. We will focus these meetings to occur after our strategic planning meeting.
Helen thought that since we were changing our period of office with HIMSS national, we may want to consider modifying our goals for the year. Conversely, we could also still work to fulfill the goals. For example, we have a goal to get three student members involved each year. She had concern that we may not be able to meet this goal
Rick has been working on this for some time. He worked to involve a physician at the University of Michigan and has been unable to gain his interest. However, Rick spoke with the director of the HIM department from Schoolcraft college. She would like to help us involve her students. Rick will work with her to get access to some of her peers as well. Rick wants to leave the goal as an action item and wants to take that on specifically.
ACTION ITEM: Rick will continue to get student involvement for the chapter.
ACTION ITEM: Alicia will get contact information for the Henry Ford Community College HIM department as well to give to Rick.
Another goal was to increase membership by 20%. Rick is happy to report that we already have. Helen mentioned that reports to demonstrate our growth would be helpful. Having these by the planning meeting would be nice.
ACTION ITEM: Rick will investigate creating reports from membership information for our upcoming strategic planning meeting.
Other annual goals that we have set for the chapter include:
Conduct one educational seminar and two other informal gatherings
Develop and deploy a chapter web site
Develop and deploy a quarterly newsletter
Since we are amending, we will add the creation of the regional advisory council as one of our goals that we have met for this year.
Communications
No report.
Determine methods to archive all HIMSS data permanently in anticipation of handing off to future HIMSS officers.
MI-HIMSS Supermarket. This would be a mini-exposition of Michigan vendors. We would group by technology, which is where the Supermarket concept comes from—for example, CPOE vendors are in one area, EMR vendors in another, Security is in another, etc. We would bring in vendors and allow them to present separately, perhaps even a technology face-off, as well as provide the expo. We expressed some concern regarding HIMSS National feelings about this type of event.
HIMSS Speaker Assistance Program
Working with Ann Arbor office to publicize programs and get their assistance.
Meetings are held the second and fourth Tuesday of each month.
