Minutes from Meeting Tuesday, February 25, 2003

Introductions were made as we began and people joined the call. 

 

PLEASE NOTE:  Our meeting location continues to be changed to Reliance Software Systems in Farmington Hills.  Directions are below.

 

CONFERENCE PREP:  Please plan to dial in next Tuesday, March 18 at 5 pm for final planning for the March 20th event.

 

Review of Minutes

 

 

Officer Reports:

President

Helen is leaving the call early due to illness.  We hope she feels well quickly. 

 

In preparation for the March 20th event, we have approximately 35 – 40 attendees enrolled and 8 paying sponsors.  Ron feels that we will be breaking even for the event.  We have room for 10 sponsors.

 

Elaine is considering mid-June, perhaps June 13, for the Petosky event.

 

Treasurer

Total income to date: $19,425.  Total expenses $8,987 .  We are in the black by

 

Chris’s budget was roughly $3,000 for the March 20 conference.  She believes with attendance and sponsors we will more than meet the budget.

 

The group unanimously approved her expenditure for gifts for the conference, as well as her payment to Telusys.

 

ACTION ITEM:  Chris will send a check to Telusys.

 

ACTION ITEM:  Alicia will contact Jim Martin regarding help in strategic planning and preparation for May 17th.

 

Chris was delighted to hear that Superior will be sponsoring the event.

Committee Chair Reports:

Programs
We will be assembling folders next week.  Ron still needs to receive Powerpoint presentations from some presenters.

 

March 20 is the confirmed date of our Winter conference.

                        Carla Smith, HIMSS

 

The program is:

6-7 wine and cheese, networking, meet and greet

7-9 program Senator Schwarz, Vernice Davis and Carla Smith panel discussion

9-10 additional networking and cocktails

 

 

Both Elaine and Chris are getting feedback regarding conference attendance.  People are more interested in full-day conferences and subjects with more “meat.”  There were no specific requests regarding content however.

 

Sponsors include:  Ensuretech, Superior, Sun Microsystems, Oracle, MercuryMD, Plante & Moran, SBC Comunications, XIO Technology, Microsoft.

 

Siemens, DCG and Fujitsu may also be sponsors.

 

We don’t have many giveaways for raffle, so would like Chris to spend approximately $200 on raffle items.  We have plenty of raffle tickets.

 

ACTION ITEM:  Chris will purchase items for raffling at the conference.

 

Elaine asked on behalf of Ensuretech if a somewhat interactive demo is appropriate.  The group agreed that this is standard and would help enhance the displays.

 

If any sponsors need a dial-up, Ron will need to know to schedule this with St. John. 

 

ACTION ITEM:  Elaine will confirm with Ensuretech that they do or don’t need a dial-up, then follow up with Ron.

 

Ron spoke with Bill Lewkowski, CIO of Metropolitan Health.  Bill has an interest in participating in the RAC for the Grand Rapids region.

 

Communications

 

ACTION ITEM:  Helen will send her article and biography to Jim for the newsletter.

Membership

Membership is growing!  Here are the membership numbers provided by Rick:

ACTION ITEM:  Rick will work with the group to draw a map of the regions.

Rick has been working on the list of volunteers.  If a volunteer wrote they had interest in a particular area, Rick assigned them to that committee.  Helen had 4 people “assigned” to her, Chris took one of them on to engage them because they work with her.  Leon will contact all the people at Mt. Clemens General who expressed an interest in participating.  Ron will contact everyone on the list pertaining to programs, Rick – membership, Jim – communications. 

 

Rick’s concern is when do we contact people?  Before our planning session, before we may have a concrete concept in place, or after the planning session?  Generally, we felt that we can get them involved before the planning meeting, to try to involve them in the planning meeting.  We discussed a balance of perception – take a stronger message or involve people earlier?

 

Theoretically, if we involve people outside of the board, our strategic planning meeting may count for one of our annual meetings.  We discussed how to involve others.  Helen would like to see it advertised on the web site.  Leon felt from a governance standpoint, that there are steps a board should go through before branching out, although opening this up to a broader audience is good.  Elaine felt that getting more involvement won’t limit us, it just opens the group up more. 

 

Should the message be targeted or broadcast?  Helen wants us to identify key people we want involved.  For the balance, we can post something at the web site, ask for involvement and set a date for RSVP.  This way we can get a targeted group of individuals, as well as open it up to anyone who would like to be involved. 

 

ACTION ITEM:  We will each identify people that we would like to involve for the strategic planning meeting.

 

The planning meeting will tentatively begin at 10 am and run until approximately 3 pm.  An agenda will be drawn up and distributed to all participants.

 

We will be meeting at St. John Conference Center on Thursday, March 20 at 5 pm.

 

ACTION ITEM:  Alicia will work with the group to determine an agenda for the Strategic Planning meeting.

 

Chris wondered if we could get Internet access at the registration desk so we can register people on Telusys directly.  This would bring up our registration cost somewhat.

 

ACTION ITEM:  Ron will check on getting Internet access at the registration desk at St. John for the March 20 conference.

 

Strategic Planning Meeting

We are investigating arranging the strategic planning meeting.  Helen wants to ensure that we plan ahead of time to ensure success.  We should involve other members, as well as SIG groups.  We can spend April getting things planned and plan this for May.  Tentatively we are scheduling the meeting for Saturday, May 17 at Reliance Software Systems.

 

ACTION ITEM:  We will contact the RAC regarding the strategic planning meeting.   We will investigate involvement of people from various HIMSS SIG groups.

We will defer discussion of the HIMSS Speaker Assistance Program until a later meeting.

 

Elaine thinks the middle of June would be a good time.  She will tentatively use June 13th as the date for the event.  It is before Father’s day, before school is out, and near Helen’s birthday!  Elaine will talk to Chris Podges regarding what events we can do up there.  Golf may be the best option for the group because of the time of year.  Grand Traverse was suggested as a venue.  Elaine feels that Traverse City is a better venue than Petosky because there is more to do there.  Boyne would also be good for a central venue with hotel rooms near golf.

 

ACTION ITEM:  Elaine will talk with Chris Podges regarding the upcoming MI-HIMSS Northern RAC Conference.

 

When should the presentations and golf be?  Will the event be Thursday or Friday or just Friday?  Helen suggested we find a hotel that gives reduced weekend rates for anyone that wants to stay through the weekend. 

 

Future Agenda Items

Determine methods to archive all HIMSS data permanently in anticipation of handing off to future HIMSS officers.

 

MI-HIMSS Supermarket.  This would be a mini-exposition of Michigan vendors.  We would group by technology, which is where the Supermarket concept comes from—for example, CPOE vendors are in one area, EMR vendors in another, Security is in another, etc.  We would bring in vendors and allow them to present separately, perhaps even a technology face-off, as well as provide the expo.  We expressed some concern regarding HIMSS National feelings about this type of event.
