Meeting Tuesday, January 14, 2003

Introductions were made among the group as the meeting began.
The minutes were approved with no changes.
Officer Reports:
Helen suggested that we use the wording Regional Advisory Council (RAC) for the regional membership teams that we are currently trying to organize. Rick and Jim will work on the state map creating regional boundaries and centers of concentration that make most sense for RACs.
ACTION ITEM: Alicia needs to follow up with Karen Hollingsworth at St Mary’s regarding her leading a Saginaw RAC.
Helen reviewed the March 20th conference agenda and would like to add Doug Roberts from the HIMSS Advocacy Program to the agenda. We will adjust the conference to include him.
The review of the bylaws will be postponed until next meeting
ACTION ITEM: All board members review bylaws for review at next meeting, especially as it pertains to officers’ terms and turnover, as well as potential for staggered terms.
We also need to start recruiting for a V.P for our chapter
Treasurer
Chris distributed the new budget spreadsheet
Chris will send the $200 sponsor fee to Bridget Hurd at GDAHC for the January 24th conference in NOVI.
Chris is waiting for receipts from the October program.
Chris also entered a line item into the budget for potential revenue from the national speakers assistance program that provides chapters speaking honorariums to cover cost of speakers fees.
ACTION ITEM: Jim and Alicia will send their receipts to Chris.

Communications
Jim would like to see us post biographies at the web site to help stimulate interest in the organization.
ACTION ITEM: Jim will provide a biography format to all of us. In turn, each of us will prepare a biography about ourselves for the web site.
Jim has talked to Clinecta, but their application and services may not fill a void for us at this time regarding distance learning for remote members. We may be able to use their services for CBT or the like when the need arises.
In discussing the newsletter, Jim is soliciting ideas for newsworthy stories of interest from any member organization.
Jim is hoping to get the first newsletter out in January, then April, July and October, we will look to release at the beginning of each quarter. Jim will review the calendar to pick the best time frames.
ACTION ITEM: Jim will send us the link to a couple other chapter newsletters so we can see the formats that other chapters use. We can send the content to national and they will organize it for us in an electronic newsletter. His research found that no chapter sends a hardcopy newsletter due to expense and time involved.
Rick delivered the latest membership list and list of volunteers scrubbed from the conference surveys.
He has a list of over 15 people that he is going to pursue that are interested in volunteering for various roles on the board.
ACTION ITEM: The group decided to schedule a dinner meeting in late February or early March to address these volunteers and recruit them into our various committees. Rick will draft a letter of invitation for these volunteers.
ACTION ITEM: Rick and Jim will also attend the GDAHC conference with our table top display on January 24th to do some recruiting , etc.
Programs
Ron discussed the confirmation of speakers for the evening event on March 20th. The speakers include Vernice Davis from GDAHC and ex-Senator John Schwarz, MD from Battle Creek. Helen is also inviting a HIMSS Advocacy member for this panel.
Ron also expressed concern for the Troy site at MSU due to rush hour logistics, etc., and will look into the St John’s Conference center in Plymouth. The group agreed that this was a better choice.
Ron also introduced the idea of other potential speakers for future events. He mentioned Dr Jeff Rose from Cerner to present on Care Transformation and Professor V. Sambamurthy from MSU to talk on IT alignment. We also discussed a variety of product offerings such as breakfast meetings, lunch meetings and RAC meetings.
We also need confirmation back from Elaine Roach on the proposed May 23rd date in Petoskey for our first RAC conference.
This program will be addressed in more detail at our next meeting.
We need to look at what we are doing for recruiting to get more members and also replace ourselves.
ACTION ITEM: We will all work on recruitment, particularly to increase committee support and bring in our successors.
Our next meeting is January 28.

you are driving in from I-96, take the Orchard Lake Road exit, then turn west
(left) onto West Twelve Mile Road. On
the south side of the street is the Farmington Hills Post Office. There is a light at the post office at the
intersection of Kendallwood and West Twelve Mile. Turn south (left) onto Kendallwood and drive all the way to the
back parking lot. Park on the right in
