Minutes from Meeting Tuesday, March 26, 2002

Welcome: Helen Hill welcomed everyone and summarized the efforts and expectations for the Michigan chapter.
Introductions: Everyone provided a brief bio of themselves.
Reviewed the minutes from the February 28 meeting: They were accepted with no changes. Helen oriented the group by providing a high level objective to establish the action plan. Requirements of the Michigan chapter include: 3-4 major events per year defining chapter bylaws defining chapter action plan establishing that we have to provide the action plan back to HIMSS before the end of April to be accepted as a new chapter in July. identified 263 HIMSS members in Michigan
HISA: Helen announced that the Michigan HIMSS chapter has the opportunity to align with HISA, the Health Information Systems Association of Michigan. HISA has been established for over 30 years and is responsible for furthering healthcare in Michigan through quarterly conferences highlighting relevant topics for healthcare. Their upcoming conferences include the next one on May 10 highlighting EMRs (this conference was cancelled as of April 10). The conference in September will focus on HIPAA, while December's topic will be a technology review relating to meeting healthcare's need of immediate information. We have an opportunity to share programs with HISA or even integrate the two organizations, HISA and HIMSS-MI. On first review, the HIMSS chapter-working group agreed to work with HISA to support and possibly share programs, but that we would wait to gather more information before we integrate directly with them. We will invite HISA members to an upcoming HIMSS meeting, perhaps in May.
Identifying Chapter Interests: In reviewing the scope of the interests of this Michigan HIMSS chapter, we agreed with the interests listed in the minutes of 2/28/02 which were: Networking, seminars, projects with healthcare students, implementation of vendor applications, integration, healthcare data management, HIPAA, healthcare applications for physicians, telemedicine, PACS, BPR, organizational change, EMR, LeapFrog, healthcare policy impacts, model for documenting the applications environment, bar code standards, ABASCI.
Additional items contributed in this meeting include: Wireless, emerging technologies and hand held technologies. In further discussions of technology interests and needs we can meet, Pete Hoffswell identified Dennis McCafferty, formerly of GDAHC, as someone we should keep in mind for brainsharing, presentations and more regarding their offerings stating they provide detailed information regarding transaction sets, EDI/HIPAA and getting all entities to communicate effectively. Ronson MacLeod identified a need for identifying monitoring processes and ways to measure effectiveness on the nursing floor from a financial standpoint. HIMSS has the opportunity to provide panel discussions from vendors and/or hospitals, and leadership forums to provide a broad picture of what is needed in healthcare.
Goals of the Local Chapter: Helen directed the group to revisit the goals of the local chapter and identified items that pertain to membership and chapter development.
The Chapter:
§Needs a minimum of 25 people
§Can get $20/person from HIMSS to start programs and can recruit local people for the chapter for $30/person, the national chapter will do recruitment
§Will hold 4 formal meetings/programs per year with a minimum of 1 annual meeting/program
§Will elect a board, officers and will designate committees and committee members
§Must be consistent with the bylaws of the national organization, but can pursue whatever we would like
§Must commit to sending a minimum of two people to national training (President, incoming President and others)
§Will receive support from HIMSS national relating to publications and promotions (i.e.. if we developed a project for healthcare professional students relating to patient safety)
We identified initial committees including: Program, Membership, Communications/Marketing Committees. It was determined that we should investigate what other chapters have been doing. Pete reviewed a list of HIMSS chapter meeting topics as an example of the kinds of programs we could develop.
Christine, Ron and Rick volunteered to work together to identify what other chapters were doing and to develop a tentative action plan for our Michigan chapter.
Pete volunteered to set up a group email within Yahoo groups so we can all share information by sending to one email address. We obtained email addresses from everyone so Pete could set up the account and agreed to keep communication up through email. We identified that we will delve into the details of being officers and board members in the next meeting. We need to identify the time commitment, expectations of the office, types of committees and more. Helen will talk to national board members to gain an understanding of the commitment involved.
The chapter agreed to meet in the Lansing area for the next several meetings to keep things centralized. We discussed options for meeting, including teleconferencing available throughout the state. Covansys in Farmington Hills (but not Lansing) has teleconferencing if we ever needed to take advantage of it.
Initial Program Offering: It was also agreed that we should do preliminary investigation on developing our first program offering. We are tentatively scheduling our first program for late July or after, since July is when we will get chapter approval. HIMSS will help provide logistical and financial support. Susan Delhey can provide us more information, as we get closer. We will also need to arrange sponsors, perhaps a moderator, location, format and more.
